REGISTRATION
1. Registrations forms must be received by WACC before June 30, 2008 (or before March 31, 2008 if applying for a subsidy).
2. On-line registrations are preferred (www.waccglobal.org/congress ).
3. Space constraints may limit the number of Congress participants. The registration process is not complete until a confi rmation of registration is issued by WACC.
4. If you complete an on-line registration before making payment, please include the supplied Registration Reference Number with your payment.
5. If you pay your registration fee on-line before completing the application form, please indicate the PayPal payment reference number on your registration form.
6. The registration fee covers accommodation (six nights), meals (from dinner on Sunday to breakfast on Saturday) and participation in all Congress activities, including the day trip.
PAYMENTS
7. The full registration fee is 600 Canadian dollars (CAD). However, those living and working in the ‘Global South’ are given an automatic subsidy of 200 CAD, reducing their registration fee to 400 CAD.
8. All registrations must be accompanied by either the full registration fee or a deposit (minimum 100 CAD). Registrations will not be processed until payment is received.
9. Full payment must be received by WACC by June 30, 2008. If full payment is not received by that date, the application will be cancelled and any deposit forfeit.
10. Payments may be made by credit card, bank transfer or cheque. Fees are in Canadian dollars, but payment of an equivalent amount in US dollars or Euros will be accepted.
11. The preferred method for making payments is by credit card, using the PayPal secure system. Please log onto www.waccglobal.org/paypal/pay_congress.html.
12. Payments by bank transfer should be directed to:

- Beneficiary: World Association for Christian Communication
- Account numbers: for Canadian dollars (CAD) use 002-430487-001, for US dollars (USD) use 002-430487-070, and for Euros (EUR) use 002-430487-270
- Indicate that the payment is for Congress Registration and include the Registration Reference Number (if you have registered on-line).
13. Any cheque must be made payable to 'WACC.' Please indicate the Registration reference Number (if you have registered on-line).
14. Payments by bank transfer or by cheque must be suffi cient to cover any bank charges that may be incurred. Charges for bank transfers must be covered by the sender.
SUBSIDIES
15. Limited fi nancial support may be available to a small number of Congress participants to cover part of their registration fee and/or part of their travel costs.
16. Subsidies are intended to encourage the participation of youth, women, indigenous peoples, and people who are HIV positive or living with disabilities. Only those who meet these criteria should apply for a subsidy.
17. Those wishing to apply for a subsidy must complete the subsidy application form. This form, together with the registration form, and the deposit, must be received by WACC before March 31, 2008. Late subsidy applications cannot be
considered.
18. In allocating subsidies, preference will be given to those who have a demonstrated need, are actively involved in advancing WACC’s aims, come from less developed countries, and can most benefi t from participation. In addition, subsidies may be used to contribute to regional and gender balance.
19. WACC will notify applicants by May 31, 2008 if their application for subsidy has been approved. All WACC decisions regarding subsidy allocation are final.
20. WACC will provide written confi rmation of any subsidy that it intends to provide, and no assumption of the existence of a subsidy should be made without such written confirmation.
21. Registration fee subsidies: Those granted a subsidy towards their registration fee still will have to pay a minimum of 100 CAD (the minimum amount of the deposit).
22. Travel subsidies: Where WACC is providing a subsidy to support a portion of travel costs, the participant is required to purchase their ticket and then obtain reimbursement of the subsidy amount during Congress. Financial advances are
not available.
23. Per diem and similar benefi ts are not available.
CANCELLATION
24. Participants who cancel their registration before June 30, 2008 will receive a refund of monies paid, less any costs incurred by WACC for the receipt and transfer of funds.
25. Applications for refunds received by WACC on or after June 30, 2008 will not be considered (due to fi nancial commitments that must be made at that time).
TRAVEL
26. Participants are required to make their own travel arrangements to reach Cape Town. WACC is unable to provide assistance with travel bookings or with arranging non-Congress activities.
27. WACC will arrange ground transport between Cape Town Airport and the Congress hotel, provided WACC is notified of a participant’s arrival and departure times and airline flight numbers at least two weeks in advance of the arrival date

VISAS
28. Participants are responsible for securing any visa required for entry to South Africa, or required in transit, and for making any other arrangements, such as immunisations, that may be required.
29. It is strongly recommended that participants determine visa requirements at an early stage and apply for a visa well in advance of proposed travel dates.
30. A letter of invitation to support an application for a visa may be obtained from WACC (e-mail: congress@waccglobal.org ). Such invitations will only be issued to registered participants.
LIABILITIES
31. Neither WACC nor any of its offi cers, directors, members or employees shall have any liability for property damage, loss, or health problem that may be suffered by a Congress participant or any accompanying person, including any damage or loss resulting from the negligence of WACC or its servants or agents.
32. WACC reserves the right to cancel or limit Congress, or any part thereof, and neither WACC nor its officers, directors, members or employees shall have any liability or responsibility for any loss or inconvenience caused to any person who
has registered for Congress or to any other person.
33. All participants are strongly advised to ensure that they have adequate health and travel insurance.
OTHER INFORMATION
34. Information submitted on the registration form and otherwise in conjunction with Congress will be stored by WACC in one or more databases owned and controlled by WACC. It is WACC’s policy not to make information in its databases
available to third parties, but such information may be shared with WACC’s Regional Associations.
35. WACC intends to arrange for the taking of photographs, and video and sound recordings in conjunction with Congress. All participants and accompanying persons will be deemed to have agreed to inclusion in such recordings, which may be used by WACC to provide information about Congress and to promote future WACC activities.
